Approving Inspection & CAIR Schedules
Required / Default Schedules are automatically created when the Equipment (DEFAULT) or Circuit (CORROSION) is added. These auto-created Schedules for which the minimal time interval should be set, act as a “safety net”. The DEFAULT Insp time interval is specified in the Settings \ Maintenance \ Inspection/Schedules. See Inspection/Schedules Settings.
If a user has the authority to take the Inspection Schedule to Final Approval and if this is the first ‘valid’ Schedule, a message will appear, stating that the Default Schedule is being deleted (because there is a valid Schedule type for the Equipment). If all valid non-recurring Schedules for a piece of Equipment (such as Inspection or RBI Re-assessment Schedules) are credited, made inactive or deleted (for both recurring and non-recurring Schedules), the Default Schedule will come back (Admin Final Approved).
Inspection Schedules are required to be Approved before being in effect.
Draft
By default, a new Inspection Schedule is set to Status "DRAFT".
The Inspection Event ("Schd Edit / New Insp") has a "Draft" Approval Status and must be approved in order to have the Schedule be made Active / In effect. When the Schedule is in Draft, it can be Edited (and Deleted if not default).
Writer Approved / Level 1 Approved
By clicking on Approve, the status will by default change directly to the maximum allowed Approval status (this can be "WRITER APPROVED", "LEVEL 1 APPROVED", but also "FINAL APPROVED"), depending on the user’s Approval Privileges. However, by clicking on the white arrow next to the Approval button, an alternative status can be selected (again depending on the user’s Approval Privileges).
Note: This dropdown is not available for sites that follow a strict Approval flow, i.e. a step cannot be skipped – e.g. first level 1 Approve, then Final Approve, even if the user has Final Approval privileges.
The Draft status of the (Pending) Schedule will change to the new status and will show in the Schedule details window.
Final Approved
Once a Schedule is Final Approved:
- If it is the first schedule for the Equipment, a message will inform you that the Default Schedule will be deleted.
- The Inspection Event will have Status "Final Approved".
- The Schedule becomes Active (i.e. "In Effect").
- The Schedule will get a Next Inspection Date (based on the NID horserace (e.g. User date, or Time Interval date).
- An Event History item will be created.
- The Schedule Details section can still be edited (e.g. Sch Driver, Resp Discipline, Sched Category).
- The Schedule Scope can be Added/Edited (i.e. assign Components to a Schedule). Note: In this case the Schedule must be Approved again.
- The Schedule itself can also be Extended or Edited. Note: In this case the Schedule must be Approved again.
- The SAP status will be populated (i.e. PENDING).
Edit
When the Schedule itself is being edited, a new Inspection Event with function "Schedule Edit / New Inspection" will be created. When the user edits a Schedule using the Edit button for the "In Effect" Schedule, the details are displayed in edit mode, where all data from the "In Effect" Schedule is shown. The new / modified data will appear as Pending changes next to the "In Effect" Schedule details.
Note: To Edit a Schedule is different from Extending a Schedule (see Deferral).
When the pending changes are Saved, the new event must again be Approved. When Final Approved, then:
- The Inspection Event will have Status "Final Approved".
- The applied changes will update the existing Schedule (e.g. NID, Sched Driver, Resp Discipline, Sched Category).
- An Event History will be created.
Deferral
Schedules in Final Approved status can be Deferred (extended) when the inspection date of a Schedule needs to be changed, but not the inspection interval. A new Event ("Deferral") will be created.
The Deferral can be simple, or, if activated for the site, a Deferral Process is followed.
When a Schedule is Deferred and Approved, only the Next Inspection Date will change; it is not possible to change other details or inspection scope.
Witnessing
You can add additional Approval steps for a Schedule by enabling Witnessing for the Schedule.
