DataIntegrity - ECH Created Schedules
The ECH Created Schedules section of the DataIntegrity Dashboard lists all ECHs that have less created than they have credited recurring Schedules. The intent of this Dashboard is to provide you with a quick overview of any Schedules that might be missing on credited ECHs.
Reasons as to why this situation may occur are varied:
- The created recurring Schedule was deleted intentionally.
- Legacy data issues.
- Functionality issues that may occur under heavy site usage where the ECH crediting process does not run to completion. This issue may leave the credited Schedule uncredited or credit the Schedule being credited, but then proceed to not create the new recurring Schedule.
How to work with the Dashboard
The Dashboard section ECH Created Schedules breaks the data down based on the Recurring Schedule Status and Equipment Active state. (L) designates legacy Equipment. Ideally, all these counts should be zero. The idea is to give the user a chance to review the ECH/Equipment in question for any missing inspections and then either create the missing Schedule or, if the Schedule is not missing, mark the ECH as checked so that it drops out of future reporting on the Dashboard.
If the Schedule is indeed missing, the issue can typically be easily resolved from the user's side by simply editing the ECH and saving it without the need to make any changes.
If this problem reoccurs on a regular basis with recent data, the issue should to be reported to Support for further investigation.
Recurring Schedule Status
The Recurring Schedule Status relates to the created recurring Schedule as it was supposed to exist on the ECH.
- Automatic - This status indicates that there is a new recurring Schedule for the listed credited Schedule. This ECH is included in the Dashboard because another credited Schedule on the same ECH is having an issue.
- Deleted - The recurring created Schedule was deleted by the user after the ECH was last final Approved. This is probably completely valid, but the status is still shown for completeness purposes.
- Manual, created on same ECH - This status indicates a partial match. The originally created Schedule is not present, but there is another recurring Schedule created on the same ECH with a matching Schedule driver or description.
- Created on another ECH, matching driver or description - The originally created Schedule is not present, but there is another recurring Schedule that has been created on a different ECH with a matching Schedule driver or description.
- Not created on ECH, matching driver or description - The originally created Schedule is not present, but there is another recurring Schedule that has been created manually on the same Equipment with a matching Schedule driver or description.
- No match found - No match was found among Schedules that have been created manually on the Equipment in question.
ECHs with No match found status should be given top priority for inspection so that it can be confirmed that there are indeed no Schedules missing.
The workflow is as follows:
- Open the source custom Query by clicking the count for the category of interest in the Dashboard.
- From the custom Query you can access the applicable ECHs, Equipment and Schedules.
- After assessing the ECH, you can add the keyword "SCHEDULECHECKED" into the ECH description. Doing so would require only editing the ECH details. This is just a suggestion, since there are a few possible methods to check and verify these ECHs in a traceable manner. Another option would be to use an appropriate label. Yet another option would be to use the ECH comment field or the narrative. However, the latter would require editing or backing out the ECH.
- Once the ECH is marked as checked it will not show up on the Dashboard in the future.
Using the Custom Query for Checking
As mentioned in the workflow above, you can open the custom Query by clicking the count for the category of interest in the Dashboard. The Query was designed to provide as much relevant information in one place without being too cumbersome. The sort order is according to Condition date, with newer dates on top. Please note that since this Query crunches quite a lot of data in the background, the performance may require a bit of patience before the results are delivered.
In this example we can see that the selected ECH is on an active Equipment, its Inspection Reason is not Class 4 and the Equipment is available in PEI. One of the two credited recurring Schedules (INSP00310259) does not exhibit any issues while the other Schedule seems to be missing the new recurring Schedule. Looking into the Schedule details we can confirm the information that was already made available in the Query results. Looking into the Equipment details we can assess the situation and confirm whether there are any inspections that are required.
