This article explains how to import an existing word document into the IMS Handbook. More information can be found in the Document360 Knowledge Base - refer to Importing Word .docx files.
Downloading the Word Doc
Download the applicable word document onto your computer.
Checking the Handbook Version
Make sure the latest project version of the IMS Handbook is selected. Older versions will be kept for backup as well as for readers that are still on the older version of IMS, but we will always add the new documents to the latest version (unless otherwise agreed).

Creating a Category
If not available yet, first create the appropriate category in the IMS Handbook:
Go to the documents tab.

Scroll to the applicable position in the hierarchy and hover to get the plus button.

Click the plus button.
Click Category.
Add an appropriate Name.
Confirm the Location.
Select Index.

Click Create.
Caution
New Categories have to be added to the relevant reader groups before they become visible to people outside of Cenosco.
Determining Splitting Levels
Review the offline word document to determine at which levels to split it up, e.g., none, level 1 headings (H1), or level 2 heading (H2). Typically, the level 1 heading is sufficient.
Importing the Doc
To Import your word document into the IMS Handbook:
Scroll to the applicable position in the hierarchy and hover to get the plus button.

Click the plus button.
Click Article.
Click Import document.
Upload the document.
To import it as a single article:
Select Single article.
Confirm the Category location.
Click Import.

To import as multiple articles:
Select Multiple article.
Select appropriate heading level of where to split. Typically H1 should be sufficient.
Confirm that the correct Category location is selected and change if needed.
Delete unnecessary articles, e.g., bibliography.
Rename articles where needed.
Caution
Remember that each section now becomes a standalone article!
It should be possible to recognize each article from the search results (thus out of context from subsequent and following sections).
Click Import when ready.
After importing your document, some more editing will be needed, especially in terms of images, tables and headings.
Note
Always follow the Editing Guidelines.
Reorganizing
It may be needed to reorganize your imported articles afterward. If needed you can now create additional sub-categories and then just drag the articles into the correct categories, as well as the correct order.
